Here's a pattern every contractor knows: you do a great site visit, send a sharp quote, and then... nothing. You call once, maybe twice, feel like you're nagging, and move on. Weeks later you drive past and see a competitor's truck in the driveway.
Silence is not a no
Most unsold estimates didn't choose someone else on price or quality. The customer got busy, got cold feet about the expense, or simply never got around to deciding. Research on sales follow-up consistently shows most deals need multiple touches — and most salespeople stop after one or two. In the trades, where the office is also dispatch and bookkeeping, consistent follow-up is the first thing that slips.
What good follow-up looks like
A practical cadence for a mid-ticket service estimate:
- Day 0 — the estimate itself, with a clear, easy way to say yes
- Day 2 — "Any questions on the quote? Happy to walk you through it."
- Day 5 — availability nudge: "We have openings next week if you'd like to get on the schedule."
- Day 9 — gentle objection handling: financing options, scope adjustments, timing flexibility
- Day 21 — a final, friendly close-out that leaves the door open
Two rules matter more than the exact schedule. First, stop the moment they respond — nothing kills goodwill like an automated message landing after a human conversation started. Second, make every message easy to answer with a question, not just a yes or no. Questions reopen conversations.
Where automation fits
Doing this by hand across twenty open quotes is why it never happens. Automated follow-up runs the cadence for you: each estimate gets its timed sequence by text or email, replies pause the sequence and alert your team, and unanswered quotes get their final touch without anyone remembering anything. Your estimators do the visit; the system does the chasing.
Measure it
Track one number: estimate close rate before and after. Most businesses that add structured follow-up see the rate move meaningfully within the first month — on quotes they'd already written off. That's recovered revenue from work you already did and leads you already paid for.
Estimate follow-up is included in our Growth plan's automated workflows. Book a demo and we'll show you exactly how a sequence would run against your current quoting process.
